Left Something at a Hotel in Japan? How to Get It Shipped

Left something at a hotel in Japan? Confirm the item, collection deadline and release process, then compare domestic delivery and overseas shipping options.

If you left something at a hotel in Japan, contact the exact property to confirm whether it has been found and is still being held. Then ask how it can be released and shipped, where it can be sent, and when collection must happen. Finding an item and arranging its return are separate steps, especially after you have left Japan.

What should you ask the hotel first?

Use the property's official lost-property contact route, email or booking message service. Provide the reservation name, stay dates, room number if known, and a useful description of the item and where you last saw it. Do not assume another branch of the same brand can search your room's records.

Describe distinguishing features so the staff can check the right object. For a jacket, that might be its color, brand and the pocket where you left a train ticket. These are hypothetical examples, not a reason to publish personal details on a public forum. Ask what proof of ownership the hotel needs and provide it through its official channel.

Establish four facts before discussing a courier:

  1. Has the item been found and identified as yours?
  2. Who currently holds it: the hotel or another organization?
  3. What is the collection or release deadline?
  4. Which return arrangements does the holder accept?

If you do not know where the item was lost, start with our wider guide to lost belongings in Japan and who to contact. This guide focuses on the next stage when a hotel is the likely holder, rather than searching every transport operator at once.

How long will a Japanese hotel keep a forgotten item?

Ask the hotel for the deadline applying to your item. A general retention period from another property is not a useful substitute for that answer. Food, valuables and ordinary belongings may be handled differently even within the same hotel.

As of October 2026, Osaka Ebisu Hotel's official FAQ says food is kept only until check-out day and other lost items for up to seven days. Hotel Nikko Narita's FAQ instead describes a three-month period unless otherwise specified, with separate arrangements for food and valuables. These examples illustrate different published procedures, not a national deadline you can apply to every hotel.

Nikko Narita also says some valuables are sent to the nearest police station. If staff tell you the item has been transferred, ask which office has it and what reference details are available. Do not keep arranging hotel pickup after the hotel has ceased to hold the item.

Confirm whether the deadline means the courier must collect by that date or whether another arrangement is accepted. Ask explicitly if you need more time, and save any agreement. An inquiry about an extension is not itself permission to leave the item longer.

Can the hotel send your item to another address in Japan?

Ask whether domestic shipping is available and how the postage must be paid. If you are moving to another hotel, confirm that the receiving property will accept the parcel for your booking before giving its address to the sender. Include the recipient details it requests and check when the parcel would arrive.

A hotel agreeing to send a parcel does not mean another hotel agrees to receive it. This matters particularly when the sender requires payment on delivery. Ask the receiving property whether it accepts that payment method rather than assuming it will pay on your behalf.

Give yourself a realistic delivery window. If you are checking out soon, ask the sender what service it proposes and what arrival estimate is available. Avoid routing an important object through accommodation you will already have left by the time it arrives.

If someone else will collect it, ask the hotel what authorization and identification it requires. Confirm the collector's name and accepted process with both parties before sending them to reception. Do not assume a courier label or a screenshot of your booking gives a third party permission to take the item.

What if you have already returned home?

First ask whether the hotel offers international shipping for your item and destination. If it does, ask how to approve the cost and pay through its official process. If it does not, ask whether it accepts collection by your representative or a courier you arrange.

The official examples differ here too. Hotel Nikko Narita says overseas shipping fees should be paid by credit card. Osaka Ebisu Hotel tells guests residing overseas to arrange a courier at their own expense. Those statements do not establish that every item can travel or that pickup can happen without further arrangements.

Compare possible routes only after the hotel confirms what it will do:

Possible routeConfirm with the hotelConfirm with the next party
Hotel ships overseasItem eligibility, packing, payment and dispatchDelivery address and destination requirements
Hotel ships within JapanRecipient, postage method and release permissionRecipient accepts the item and onward arrangements
Representative or courier collectsAuthorization, collection hours and packagingAcceptance, pickup instructions and full cost

A forwarding address alone does not solve the problem. Before paying a service, check that it accepts this kind of item and the hotel's proposed handover method. Establish who is responsible for each stage rather than leaving the hotel and courier with conflicting instructions.

Which shipping details can prevent a return?

Tell the proposed carrier what the item actually is. A phone, a toiletry pouch and clothing can require different checks. Do not describe everything as “personal belongings” and assume all contents are acceptable.

Japan Post's international shipping guide distinguishes items that cannot be mailed internationally from restrictions specific to the destination. It lists perfume and portable battery chargers among examples that cannot be sent through the described international-mail service. That is a reason to check the contents first, not to assume a different carrier will accept them.

For an electronic device, give the carrier its model and battery details and ask about the exact service to your country. Do not remove, conceal or misdescribe a battery to make a parcel appear eligible. If the proposed route cannot carry the item, ask about lawful alternatives before arranging collection.

Japan Post also requires accurate descriptions of parcel contents, including details such as quantity, weight and value for the label process. Being the owner of a used object does not make the shipping paperwork unnecessary. Confirm requirements with the carrier and relevant official authorities; this guide does not determine customs treatment or any amount payable at the destination.

Ask for the complete cost, including packaging, collection and any onward leg. A price for domestic postage alone is not a quote for delivery to your home. Save the tracking reference and dispatch confirmation once the accepted arrangement has actually been carried out.

A hotel return request you can adapt

Send a message that separates the search from permission to release:

“I stayed under [name] from [dates], booking reference [reference], and may have left [item description] in [location]. Has it been found, and who currently holds it? Please confirm the collection deadline and what proof you need. I am now in [country / next destination]. Can you ship it there, or accept an authorized courier or representative? Please explain the process and charges before releasing or sending anything.”

If the item is already confirmed, replace the first sentence with the hotel's reference and focus on the unresolved shipping questions. Do not send payment details in the message; ask for the hotel's official payment method if needed.

For a phone inquiry, our guide to calling a Japanese hotel helps you organize the reservation details. Provide a contact route you can actually monitor. If a form requires a local number, use our Japanese phone number guide to understand the question, and do not invent contact details or use a hotel's number without its agreement.

Frequently asked questions

Will the hotel contact me if it finds something?

Do not rely on that. Nikko Narita's FAQ, for example, says it will not proactively contact guests about left items for privacy reasons. Make the inquiry yourself through the property's official channel.

Can every Japanese hotel send lost items overseas?

No universal arrangement can be assumed. Ask your hotel whether it ships internationally, supports domestic forwarding, or accepts an authorized pickup. Each route still requires confirmation of item and carrier eligibility.

Can a friend collect the item for me?

Ask the holder what authorization and identification it requires. Agree on the process before your friend travels to the property. Share only the information the hotel says is necessary through an appropriate channel.

How much will return shipping cost?

Request a quote for the actual item, packaging, destination and collection method. Check whether the quote covers every leg of the journey. Do not rely on a generic rate without the item's size, weight and eligibility being established.

Can Moshimo collect or mail the item?

Moshimo makes Japanese phone calls on your behalf. It can ask the hotel about an item and its release or shipping process; collection, packing, transport and payment arrangements must be handled with the relevant provider.

Let Moshimo make the call

If a Japanese phone inquiry is needed, Moshimo can ask the hotel whether your item was found, where it is held and which return options it accepts. Enter the stay details, description and questions in your own language, then review the request before Moshimo calls in Japanese. The outcome comes back in the app. State what may be agreed during the call. Recovery and shipping depend on the holder and carrier; Moshimo cannot guarantee the return. Get Moshimo.
