Luggage Forwarding in Japan: Hotel Delivery Before Check-In
Using luggage forwarding in Japan? Check whether your hotel accepts bags before check-in, confirm delivery timing, and prepare the right reservation details.
You can send luggage to a hotel in Japan if that property agrees to receive it. Before arranging luggage forwarding, confirm the delivery date with both the courier and the receiving hotel, especially if your suitcase will arrive before check-in. A hotel reservation alone does not confirm permission to store an early delivery.
This guide focuses on hotel-to-hotel luggage forwarding and the questions to settle before handing over your bags. It includes a message you can adapt for the hotel, label details and a checklist for trips with an overnight stop between stays.
Can hotels in Japan receive luggage before check-in?
Some properties accept advance deliveries, but the date and conditions matter. There is a difference between leaving a suitcase at reception on the morning you check in and having a courier deliver it several days before your stay. Ask about the exact arrangement you need.
As checked on 13 October 2026, Yamato Transport says it can send luggage to a hotel or ryokan that is willing to receive it. Its guidance also tells travelers to check accommodation restrictions on collecting their bags. The courier can transport a suitcase; the property still needs to agree to receive and hold it.
MIMARU illustrates why you should check the hotel policy separately. Its official FAQ permits advance shipping, asks guests to use their reservation name, and warns that arrival before check-in can incur storage fees. Those are MIMARU's conditions, not a rule for every Japanese hotel.
Contact the exact branch where you are staying. A reply from another location, a travel forum or an old review cannot confirm your delivery. If the website already answers the question clearly, use that information; contact the front desk when your dates or circumstances fall outside it.
How early should you send luggage between hotels?
Choose your shipping date using the courier's current guidance for the actual route. Do not rely on another traveler's successful overnight delivery to decide when your bag will arrive.
Yamato's accommodation FAQ currently asks travelers to dispatch before the cutoff at least two days before check-in, with three days potentially needed depending on distance. Ask the dispatch counter to confirm how that guidance applies to your destination and the service you are using. Its hotel FAQ also says delivery times cannot be specified.
Your plan must satisfy both sides: a delivery schedule the courier can offer and an arrival date the hotel will accept. If they do not line up, ask about a different service or carry the bag. Do not send first and leave the hotel to solve the mismatch.
For a side trip between cities, write down:
- The day you will hand over the suitcase.
- The arrival date the courier expects or can arrange.
- The first date the receiving hotel has agreed to accept it.
- The day you need access to the suitcase again.
For example, you might leave Tokyo, spend a night elsewhere with a small bag, and then check into Kyoto. Treat that as a scheduling question rather than assuming your suitcase should arrive while you are away. Confirm the dates before committing to the shipment.
What should you ask the receiving hotel?
Send a short request with your reservation details and proposed delivery. Give staff enough information to answer the question without searching through a long itinerary.
| Question | Detail to include |
|---|---|
| Can you receive the delivery? | Reservation name, check-in date and number of bags |
| When may the bags arrive? | Your proposed arrival date, including any early arrival |
| Is storage charged? | Ask about the period before your stay |
| Where should they be sent? | Exact address, branch name and any reception instructions |
Also confirm whether the shipping cost must be paid before dispatch. Yamato's hotel FAQ does not permit cash-on-delivery shipments to accommodation for a guest; its stated exception concerns a receiver who is an employee there. Check the payment arrangement with the sending counter rather than assuming reception will pay for you.
A message you can adapt:
Replace every bracket before sending. If you have already booked the stay, include your reservation reference. If the answer only says that luggage storage is available, ask whether that includes a courier delivery on your proposed date.
For other accommodation questions, our guide to calling a Japanese hotel explains how to organize your request.
What goes on the luggage forwarding label?
Use the courier's official waybill instructions and the address supplied by the hotel. Yamato's travel guidance asks for the accommodation address and telephone number, the stay date, and your full name as the addressee. Match the guest name to your reservation so reception can identify the bags.
Before handing over the suitcase, compare the completed label with your confirmation:
- Property: the correct hotel branch and delivery address.
- Guest: the name under which the hotel will find the reservation.
- Stay: the check-in date and any reference the hotel requested.
- Contact: the hotel's published number and your contact details where required.
- Delivery: the agreed date and any instructions the courier has accepted.
This checklist helps you review the form; it does not replace its required fields. Ask the counter about anything you cannot read or are unsure how to complete. Keep a photo of the finished label and the receipt.
If a phone-number field is causing difficulty, ask whose contact details belong there rather than entering a made-up number. Our Japanese phone-number guide explains the difference between your home number, a local contact and a data-only eSIM.
What if the hotel cannot accept your suitcase?
Do not interpret a refusal as a problem you can solve by sending the bag anyway. The property may not have the storage, reception arrangements or service you need. Ask whether another arrival date would work, but accept its answer if it cannot receive the delivery.
Possible next steps are to carry the suitcase, change the dispatch date, or ask the courier whether it offers another suitable receiving option. Confirm the alternative's location, eligibility and collection process before shipping. Avoid assuming a nearby shop or courier office can hold your particular shipment.
If you are staying at a self-check-in property, explicitly ask who will receive the bag. A building address and a room-access code do not identify someone who has agreed to accept a courier delivery. Keep the suitcase with you if you cannot establish a workable receiving arrangement.
When you pack your smaller travel bag, keep what you need until you regain access to the suitcase: travel documents, essential personal items, chargers and clothing for your onward plans. Check the courier's prohibited-item rules separately. Forwarding should reduce what you carry, without leaving you dependent on retrieving the bag at an exact hour.
How do you check a luggage delivery problem?
Start with the tracking number on your receipt. Compare the destination and dates with your hotel confirmation, then contact the courier about the shipment status. Ask reception whether it has received a bag under the reservation holder's name.
A useful enquiry gives the tracking number, guest name, check-in date and number of bags. Describe what the tracking page says instead of assuming the parcel is lost. If the hotel and courier give different answers, ask which detail needs checking: destination, receipt of the bag, or collection instructions.
Keep the receipt until you have collected every bag. For other situations where a short call can clarify your travel plans, see the Japan trip phone-call checklist.
Frequently asked questions
Can I send luggage to a Japanese hotel before I arrive?
Yes, if the hotel agrees to receive it for your stay. Confirm the specific arrival date, storage conditions and label details before dispatch.
Will a hotel hold forwarded luggage for several days?
Ask the property directly. Do not assume its check-in-day storage policy covers several days of advance storage or that the service is free.
Is hotel-to-hotel luggage forwarding always next-day delivery?
Do not plan on that without route-specific confirmation. Check the courier's current estimate, service and dispatch cutoff, along with the receiving hotel's accepted dates.
How much does luggage forwarding in Japan cost?
Obtain a quote for your route and bag size from the courier or sending counter. Confirm any hotel storage charge separately; there is no single price covering every suitcase and destination.
Can Moshimo arrange the actual shipment?
Moshimo can call a Japanese business to ask about its services or policies. It does not transport your suitcase. Arrange dispatch and payment with the courier or the hotel providing that service.
Let Moshimo make the call
If your hotel needs a phone enquiry in Japanese, Moshimo can ask whether it accepts a luggage delivery, which arrival dates it allows, and what details it wants on the label. Describe your request in your own language and review it before Moshimo calls. The outcome comes back in the app. The hotel and courier decide what they can offer; Moshimo cannot guarantee a delivery or storage arrangement. Each new account receives one eligible free Call for Me call. Get Moshimo
